ESPID PRESS GUIDELINES 2008

General
The official language of ESPID is ENGLISH
ESPID is an independent non-profit scientific society
Press activities should not interfere with scientific activities during the meeting
The unique atmosphere and the identity of the ESPID meetings should remain untouched
Sponsors should not use an ESPID meeting for advertisement or promotional purposes other than agreed to in the contract between them and ESPID

Press Registration
Press may register for the ESPID meeting free of charge; however proper press credentials are required.
Press can register at http://www.kenes.com/espid2008/Press_Registration.asp and will receive special badges and opening press release package from the Registration Manager Desk as of Tuesday, May 13th from 12:00p.m.
Photographs, Audio and Video Recording
Photographs as well as audio and video recordings are not permitted at the ESPID official meeting sessions. This regulation does not apply to the industry sponsored satellite symposia.
Photographs of activities during breaks, in the exhibition hall and walking area are permitted with the exception to poster halls. Photographs of persons in the press room are encouraged.

Embargo Policy
Information on abstracts accepted for ESPID 2008 will be under embargo from release by the press until the day of presentation .

ESPID Press Office
An ESPID Press release will be available at the Press Room on Thursday and Friday morning, May 15th and 16th, 2008 .

  1. Press activities may be conducted on-site at the Messe Center Graz.
  2. Press packs and/or promotional material related to the press can be placed in the press office. Materials placed in other locations around the Center will be removed.
  3. There will be a computer, laptop connections and printer provided in the press office available for press representatives.
  4. ESPID media lists or lists of press attendees from former Meetings and events are not made available to the press or their communications representatives.
  5. A member of staff dedicated to the Press office will be available throughout the Meeting period. This staff member will be responsible for badge-checking, the general upkeep of the room and answering press enquiries. This staff member will not be responsible for press related tasks such as photocopying or secretarial duties.  
  6. Coffee and refreshments will be provided in the press office at no extra charge for the press attendees and for their sole use only.
All queries regarding the Press Office should be directed to the meeting secretariat
INDUSTRY PRESS GUIDELINES
  1. Industry press activities may be conducted on-site at the Congress Center. There will be rooms available for rent by industry and their PR representatives at a set fee.
  2. Industry press packs and/or promotional materials relating to the press can be placed in the stands exhibition and /or at the press office and hospitality suite (if reserved). Material placed in other locations around the Congress Center (with the exception of the exhibitor’s stand) will be removed.
  3. There will be a computer and printer provided in the press office but the press representatives invited by the industry are requested to leave this free for the free press attendees for whom it is provided.
  4. ESPID media lists or lists of press attendees from former Meetings and events are not made available to the Industry or their communications representatives.
  5. A member of staff dedicated to the Press office will be available throughout the Meeting period. This staff member will be responsible for badge-checking, the general upkeep of the room and answering press enquiries. This staff member will not be responsible for Industry-related tasks such as photocopying or secretarial duties unless this has been arranged prior to the Meeting.
  6. Coffee and refreshments will be provided in the press office at no extra charge for the press attendees and for their sole use only.
  7. The Press Conference Room can be booked by industry at specific requested times and restricted to press attendees and Industry press conference organizers (Industry officials and their PR/event management representatives) with the meeting secretariat.
All queries regarding Press Office and Press Conference Room bookings and regulations should be directed to the meeting secretariat.
